What is automation and how can it help you grow your business?

Automation: noun. ‘the method or system of operating or controlling a process by highly automatic means, reducing human intervention to a minimum or without continuous input from an operator.’

Have you ever considered how much of your job is repetitive work that takes up a fair amount of your day? As a business owner or manager, how much time do you spend on administrative tasks that are not highly skilled but need to be done? Automation is the solution to a problem you might not realise you have. 

When you’re spending time onboarding new clients or following up with customers, you could be upskilling yourself in a new valuable way to make money. When you’re setting up invoices and sending payment reminders you could be spending one more hour using your skills on billable services. So how can you automate these tasks? 

At Yellow Door we’ve been working on what Verne Harnish calls relentless repeatability, routines and habits that allow us to remove thought and skill from certain processes and rather use systems around us to automate these processes. This has freed up time and headspace that we’re now able to spend on strategic workshops to grow our business. 

These processes fit right in with my strengths of problem-solving and clear communication, as well as my desire to keep control – not always a strength! It also brings together so much of what I’ve learnt as a business owner over the past 7 years and allowed me to streamline our work and focus on the important headspace tasks

For example, when you sign up as a Yellow Door client, you complete a simple form to provide us with your billing details and an acceptance of our terms and conditions. Once this form is complete, the details are sent to our invoicing system to create a new contact and set up the deposit invoice. The new client is also added as a project on our project management system and our time tracking software. Now all that needs to happen is for the project manager to send an initial email to the client to get started on the work required. This saves us or an admin person at least 20 – 30 minutes per client we onboard! 

This is just one example of a process that can be automated within a business. Think of anything that links systems or processes together and it can be automated, even just partially, to save you time and therefore money.
